Lenscape Cancellation, Refund & Payment Policy
This policy applies to bookings and Member Access purchased through the Lenscape platform. By purchasing Member Access or completing a property booking, users agree to the following terms. See also the Photographer Terms and Host Terms.
1. Property Booking Payments
Payment for a property reservation is due in full at the time of booking unless otherwise stated during checkout.
A reservation is not confirmed until payment has been successfully processed and the photographer receives booking confirmation through Lenscape.
The price displayed at checkout represents the amount charged to the photographer for the property reservation, together with any applicable taxes or other charges clearly disclosed before purchase.
Lenscape may collect payment on behalf of participating property hosts and deduct applicable platform fees or commissions from the host's payout.
2. Photographer Cancellations
Unless otherwise expressly stated at the time of booking, the following standard cancellation policy applies:
Cancellation 48 Hours or More Before the Reservation
Cancellations made at least 48 hours before the scheduled start time are eligible for a full refund of the property booking amount.
Cancellation Between 24 and 48 Hours Before the Reservation
Cancellations made between 24 and 48 hours before the scheduled start time are eligible for a 50% refund of the property booking amount.
Cancellation Less Than 24 Hours Before the Reservation
Cancellations made less than 24 hours before the scheduled start time are non-refundable.
No-Shows
Failure to arrive for a confirmed reservation without cancellation is considered a no-show and is non-refundable.
3. Rescheduling
When available, photographers may request to reschedule a booking rather than cancel it.
Rescheduling requests are subject to:
- Property availability
- Host approval, when applicable
- The timing of the request
- Any property-specific restrictions disclosed before booking
A rescheduled reservation may be limited to one date change and may be required to occur within a specified period.
Lenscape and participating hosts are not required to accommodate repeated rescheduling requests.
4. Host Cancellations
If a host cancels a confirmed reservation or is unable to provide access to the property as booked, the photographer will be entitled to:
- A full refund of the affected property booking amount; or
- When mutually agreed, transfer of the booking amount to a new date.
Lenscape may also assist the photographer in identifying an alternative available property but does not guarantee that a comparable replacement location will be available.
Lenscape is not responsible for consequential losses resulting from a host cancellation, including lost photography income, travel expenses, client refunds, equipment rentals, or other indirect costs, except where otherwise required by law.
5. Weather and Unsafe Conditions
Photography sessions frequently take place outdoors, and ordinary weather conditions—including clouds, light rain, wind, heat, cold, or changes in foliage, blooms, or seasonal appearance—do not automatically qualify a booking for a refund.
If severe weather, government warnings, property conditions, or another circumstance makes access to the property unsafe or reasonably impossible, Lenscape may offer, depending on the circumstances:
- Rescheduling at no additional property booking charge;
- A booking credit; or
- A full or partial refund.
Photographers are responsible for reviewing weather conditions and planning accordingly.
Lenscape may request reasonable documentation when evaluating weather-related or emergency refund requests.
6. Property Conditions and Seasonal Features
Photographs, descriptions, and seasonal information displayed on Lenscape are intended to help photographers evaluate a property but do not guarantee exact conditions on the date of a booking.
Natural and seasonal features—including:
- Fall foliage
- Flowers and blooms
- Grass and landscaping
- Water levels
- Snow
- Weather
- Lighting conditions
- Agricultural conditions
may change due to weather, maintenance, seasonal timing, or other factors outside Lenscape's or the host's control.
Changes in natural appearance or seasonal conditions do not automatically qualify a booking for a refund unless the property is materially unavailable or substantially different from the booked access.
7. Early Departure or Unused Time
Photographers who arrive late, leave early, or choose not to use the full duration of their reservation are not entitled to a partial refund.
Bookings begin and end at the times shown in the reservation confirmation.
Setup, client arrival, photography, cleanup, and departure must occur within the reserved time unless otherwise authorized by the host.
8. Membership Payments
Lenscape Photographer Member Access is billed as a flat annual fee of $14.99 per year at signup. The membership fee will automatically renew each year until canceled.
Members may cancel future renewal at any time through their account settings or other cancellation method provided by Lenscape.
Cancellation of Member Access prevents future renewal but does not automatically refund fees already paid.
Except where required by law or expressly stated by Lenscape:
- Membership fees are non-refundable once charged.
- Partial years are not prorated.
- Failure to use Lenscape does not qualify a member for a refund.
Cancellation of Member Access does not automatically cancel existing property reservations.
Members remain responsible for complying with the Lenscape Member Agreement and applicable property rules for any existing bookings.
9. Promotional Membership Offers
Lenscape does not currently offer a free trial for Member Access. From time to time, Lenscape may offer promotional pricing or discount codes. When offered, the applicable price, duration, and renewal terms will be disclosed before enrollment.
Lenscape reserves the right to modify or discontinue promotional offers, subject to applicable law.
10. Failed Payments
If a membership payment or property booking payment is declined, reversed, disputed, or otherwise unsuccessful, Lenscape may:
- Suspend Member Access;
- Prevent new bookings;
- Cancel an unpaid reservation;
- Request an alternative payment method; or
- Take other reasonable steps to collect amounts legitimately owed.
A booking is not guaranteed until payment has been successfully completed.
11. Chargebacks and Payment Disputes
Members are encouraged to contact Lenscape before initiating a chargeback or payment dispute so that Lenscape has an opportunity to investigate and resolve the issue.
Fraudulent or abusive chargebacks may result in suspension or termination of Member Access.
Nothing in this section limits a user's lawful rights to dispute an unauthorized or improper charge.
12. Refund Processing
Approved refunds will be issued to the original payment method whenever reasonably possible.
Processing times may vary depending on the payment processor and financial institution.
Lenscape does not control the amount of time a bank or card issuer takes to post an approved refund.
13. Property Damage and Additional Charges
Photographers are responsible for the conduct of the individuals included in their booking party.
If a photographer or their guest causes property damage, violates clearly disclosed property rules, exceeds the reserved time, or incurs another authorized charge, the photographer may be responsible for applicable costs, subject to:
- The Lenscape Member Agreement;
- Applicable insurance coverage;
- The host's documented claim;
- Applicable law; and
- Any additional terms accepted during booking.
Lenscape does not guarantee that damage or other charges will be covered by insurance.
14. Extraordinary Circumstances
Lenscape may review exceptional circumstances on a case-by-case basis, including serious emergencies, natural disasters, government restrictions, property access failures, or other circumstances outside the reasonable control of the photographer or host.
Any exception or accommodation provided in one instance does not require Lenscape to provide the same exception in future circumstances.
15. Changes to This Policy
Lenscape may update this policy from time to time.
The cancellation and refund terms applicable to a property reservation will generally be those presented and accepted at the time the reservation was booked, except where a change is required by law or mutually agreed by the parties.
Booking Acknowledgement
Before completing a reservation, the photographer must confirm:
- I have reviewed the cancellation and refund policy applicable to this booking.
- I understand the booking start and end times and agree that all photography activity, setup, and departure must occur within my reserved time.
- I understand that natural, seasonal, weather, and lighting conditions are not guaranteed.
- I have reviewed and agree to the rules and restrictions for this specific property.
- I understand that I am responsible for the conduct of the clients and guests included in my booking.
